Quoting & Terms
The quote provided is based on the approximate number of people you suggested upon enquiring. A significant drop (+/-10%) in the number of guests attending may result in price changes.
Is valid for 3 months after the send date or up to the date of your event unless notified by VPC.
VPC retains the right to notify you at any point.
A +10% surcharge will be automatically added to the final invoice of any event that falls on a public holiday.
1850 + GST + Travel (if applicable).
Minimum spend is required for all functions unless arrangements have been made with Tim of VPC.
(Minimum spends will depend on the date/ time/location/ facilities available; each event is quoted on an individual basis)
If there is a “shortfall” in the facilities that impacts our ability to service the event as expected or intended, the client is responsible for any monetary burden, including but not limited to emergency equipment hire, additional staff, extended service hours, etc.
Depending on the style of service you have booked (buffet, canapes, set menu, sharing or combination thereof); between a 1.5 – 2-hour service window in included as standard within the quoted package
(Please feel free to discuss your vision and event timeline needs with our catering manager throughout the quoting process and lead-up to your event so we can tailor a package specifically to you.)
If your event is running behind schedule, we will allow a grace period of 30 minutes at the event manager's discretion; anything beyond this will be charged in 15-minute increments at a rate of $50 per 15 minutes.
The booking deposit must be paid before or upon the stated due date unless prior arrangements have been made.
Booking deposits are not refundable
The client agrees to the terms in full upon confirmation of booking/securement of your event date.
Dietary requirements
Dietary alternatives beyond what is covered by the menu can be made available.
A surcharge of 5pp will apply to have other off-menu options available for these guests.
Example: if you have a guest list of 50 people and 10 have dietary requirements, then a surcharge of $5 for each person will apply (total $5 X 10ppl = $50) + GST
The final number of people attending will be confirmed 21 days prior to the event; this will be the number charged.
CANCELLATION & VARIATION TO CONFIRMED/BOOKED IN ORDERS
a. Cancellation outside 90 days of the event date will incur fees to cover any site visits, work done to date and booking deposit retained.
b. Cancellation 21 – 90 days prior to the event date will incur a cancellation fee of 60% of the total contract price.
c. Cancellations 2 - 21 days prior to the event date will incur a cancellation fee of 90% of the total contract price.
d. Cancellation within forty-eight (48) hours of the event will incur a cancellation fee of 100% of the total contract price.
The final remaining balance must be paid before or upon the stated due date unless prior arrangements have been made and acknowledged by Tim Chapman of VPC.
